
Program Teams should hold in-person meetings annually, coordinating with Program Area Chairs to strategically combine meetings with related Program Teams as appropriate to make the most of available funding and promote collaboration and synergies between Program Teams. Beginning July 1, UC ANR provides funding for the annual in-person Program Team meetings. These Program Team meeting funds include funding for relevant ANR employees to travel to one Program Team meeting per year.
Programmatic Guidelines for Program Team Meetings
Program Team leaders should work with their Program Area Chair to design meetings and develop an agenda that includes the following elements:
- Desired outcomes
- Networking opportunities
- Learning session (e.g. broad skill like communication or topic of broad interest and relevance)
- Sharing of work, research, best practices, etc.
Consider including field tours, external speakers, poster sessions, and/or Workgroup breakout sessions.

Budgetary Guidelines for Program Team Meetings
UC ANR Program Support Unit will work with you to develop a budget for your meeting that addresses programmatic objectives and is cost-effective. Below are some general guidelines:
- Please help ensure equitable funding across Program Teams by keeping costs low.
- Funding is available starting July 1 each year.
- Meetings should be held at the ANR Building in Davis, at the UCCE office, REC, or other low/no cost venue. UC ANR Program Support Unit can help identify these venues.
- Consider proximity to airports and to most participants.
- Meetings must be held in state
- Funds can be used for travel to one Program Team meeting per year for relevant UC ANR employees (including AES faculty)
- Funds cannot be used for travel for non-UC ANR personnel within UC and for external partners
- Funds can be used to cover travel up to $500 for one speaker per meeting
Requesting a Program Team Meeting
Program Team meetings are supported by UC ANR Program Support Unit. Program Team Meetings should be requested 90 days in advance of your anticipated meeting date. Use the UC ANR Program Team Meeting Request Survey (coming soon) to request a Program Team Meeting.
Before requesting a Program Team Meeting, you will need to have the following:
- Agenda with objectives, desired outcomes, and anticipated external speakers, tours, poster sessions, breakouts, etc.
- Logistics
- Anticipated number of participants
- Anticipated dates
- Desired locations
- Your availability for an intake meeting
For combined Program Team Meetings, one request for the combined meeting should be submitted.
Approval Process for Program Team Meetings
- Work with your Program Area Chair to ensure that the meeting agenda includes strategic objectives to address the programmatic elements (opportunities for networking, learning, and sharing work)
- Program Team meeting requests are submitted through the Program Team Meeting Request Survey; an agenda should be uploaded through the survey
- Within two weeks of submitting the meeting request, the Vice Provost for Research and Program Integration will review your draft agenda and let PSU know to proceed with meeting planning
- Once PSU has an approved agenda, they will work with you to identify a venue if needed, develop a budget, and plan the meeting logistics and details.
